1. The short version
Vantivelo works by understanding your situation, which means you'll share things that matter to you. This policy explains exactly what we hold, why, and what you can do about it.
- We collect what you give us and what we need to run the platform — nothing is bought from data brokers.
- Your information is used to produce your analysis, Strategy Roadmap, Homework, and Coach guidance.
- Delivering that requires third-party technology providers to process your content on our behalf.
- We do not sell your information and we do not use it to train publicly available AI models.
- You can download everything, clear what your Coach remembers, or delete your account from your settings.
2. Who this policy covers
This policy applies to the Vantivelo website and platform. Vantivelo is the controller of the information described here. You can reach us at support@vantivelo.com.
3. What we collect
Account information. Your email address, authentication details, and the profile and preference settings you choose (such as your coaching tone preference and notification settings).
Assessment information. Your responses to the Dating & Relationship Assessment, including free-text answers about your situation.
Relationship and dating information you volunteer. Anything you choose to tell us about your circumstances, history, partner or people you're dating, feelings, and decisions. This is often sensitive, and you decide how much to share.
Coach conversations. The messages you send your Coach, the responses generated for you, and the session history that keeps guidance consistent over time.
Uploads and recordings. Screenshots and images, documents, uploaded audio, in-app voice recordings, and video that you attach to an assessment or a Coach session — plus the transcripts and text extracted from them so the platform can use their content.
Generated outputs. Your Assessment Reports, Strategy Roadmaps, Homework curricula and your responses to them, Progress information, milestones, and audio narration generated for your reports and roadmaps.
Coaching context. Structured notes the platform builds about your patterns, goals, and preferences so guidance stays personal across sessions, together with the proactive check-ins scheduled from that context.
Support communications. Emails you send us and our replies.
Technical and security information. Logs generated when you use the Service, including request and error records used to keep the platform working, diagnose faults, and protect against abuse.
Payment and account metadata. Records of what you purchased, your membership status and billing period, and identifiers returned by our payment provider, Stripe, which processes payments for Vantivelo. Vantivelo does not receive or store your full payment card details.
Optional analytics. If — and only if — you allow it, we use Google Analytics 4 to understand how the site is used and how it performs. That means masked page addresses (identifiers removed, query strings discarded), the names of milestones you reach such as starting the assessment, and how you first arrived (campaign labels and referring website). Google acts as our analytics provider. You can change or withdraw this choice at any time, and advertising features such as Google Signals and ad personalisation are switched off.
What we don't collect. Analytics never receives your assessment answers, report, roadmap, homework, Coach messages, uploaded files or their names, your email address, your name, or payment information. Vantivelo does not run retargeting or cross-site tracking technologies, and does not use Google Tag Manager, Meta Pixel, TikTok Pixel or Microsoft Clarity.
Google Ads conversion measurement. Vantivelo is preparing to measure whether people who arrive from our Google ads go on to complete key steps such as finishing the assessment or making a purchase. This is measurement only: it is not behavioral advertising, retargeting, cross-site profiling, Google Signals, or ad personalization, and it will not send your assessment answers, Coach content, uploads, or any other private product content to Google. It will be consent-gated the same way Google Analytics is — it will not load or send anything until you allow optional measurement, and you can withdraw at any time. This policy and the Cookie Policy describe it before it is switched on.
4. Why we use it
- To produce the analysis, Strategy Roadmap, Homework, and Coach guidance you've asked for.
- To keep guidance personal and consistent across sessions, and to notice change over time.
- To operate your account, authenticate you, and apply the entitlements of your plan.
- To process purchases and manage membership status.
- To provide support when you contact us.
- To keep the platform secure, prevent abuse, and diagnose technical faults.
- To meet legal, accounting, and record-keeping obligations that apply to us.
5. Legal bases (where they apply to you)
If the law where you live requires a legal basis for processing, we rely on: performing our contract with you (delivering the Service you signed up for); our legitimate interests (keeping the platform secure and reliable, and improving it); your consent where we ask for it; and compliance with legal obligations.
Where information you choose to share is treated as a special or sensitive category under your local law, we rely on the fact that you have knowingly and voluntarily provided it to receive the functionality you requested. You are never required to share more than you want to.
Under review. Region-specific privacy rights language (for example, EU/UK GDPR and US state privacy statutes) is being finalised with counsel. In the meantime, we honour access, download, correction, and deletion requests for every customer regardless of location — see Data Deletion & Privacy Rights.
6. Automated processing and technology providers
Vantivelo's core functionality is produced by automated systems. Delivering it means your content is sent to third-party technology providers that process it on our behalf, under contract, solely to return the result you asked for:
- Files, images, documents, audio, and video you attach are analysed and transcribed using Google's Gemini AI services.
- Your analysis, Strategy Roadmap, Homework, Coach responses, and narration are generated through the AI infrastructure our platform is built on, which routes requests to the underlying model providers.
- Our cloud hosting and database provider stores your account, your content, and your uploaded files.
- Our email provider sends account, security, and notification emails.
- Stripe, our payment provider, processes purchases and returns billing status to us.
These providers are not permitted to use your content for their own purposes. It would be inaccurate to tell you that everything stays exclusively inside Vantivelo's own systems — it doesn't, and this is how the Service is delivered.
Read the AI Disclosure for what automated generation means for the quality and reliability of what you receive.
8. Information about other people
Relationship guidance naturally involves other people, and you may mention or upload material involving a partner, ex-partner, or someone you're dating. Only share what you're legally entitled to share, and be thoughtful about material that isn't yours — private messages, recordings, images, and documents included. Recording and consent laws differ by jurisdiction and it's your responsibility to comply with the ones that apply to you. If someone believes their information has been uploaded to Vantivelo improperly, they can contact us at support@vantivelo.com.
9. Security
We use access controls that restrict your data to your own account, encrypted connections, managed cloud infrastructure, and internal safeguards over administrative access. No online service can promise perfect security, and we don't. If we become aware of a breach affecting your information, we'll act on it and notify you where the law requires.
10. How long we keep things
We keep your account content — assessments, reports, roadmaps, Coach history, uploads, Homework, and progress — for as long as your account exists, because the platform's value comes from continuity over time. You can remove much of it yourself at any time.
When you delete your account, your account content is deleted from our live systems and your uploaded files are queued for removal from storage. Some records may be kept for a limited period afterwards where we need them for security and fraud prevention, financial and tax records, or to comply with legal obligations.
Deletion from our live systems is not instantaneous everywhere. Encrypted backups and our providers' systems roll over on their own schedules, so residual copies can persist for a short period before being overwritten. We can't promise instant erasure from every backup and every provider, and we won't claim to.
Under review. Exact numeric retention periods for post-deletion security, backup, and financial records are being finalised. This section will state them once confirmed.
11. Your choices and rights
From your account settings you can, at any time:
- download a copy of your data;
- pause personalization so your Coach stops storing new long-term notes about you;
- clear the notes your Coach has already built up;
- change your email address, password, and notification preferences; and
- permanently delete your account.
Full instructions, plus how to make a privacy request by email, are on the Data Deletion & Privacy Rights page.
12. Children
Vantivelo is intended for adults and is not directed at children. We don't knowingly collect information from anyone under 18. If you believe a minor has created an account, contact us and we'll remove it.
13. Where your information is processed
Vantivelo and its service providers operate internationally, so your information may be processed in countries other than the one you live in, including the United States. Where required, we rely on appropriate safeguards for those transfers.
14. Changes to this policy
We'll update this policy as the product changes — for example, when we introduce a new analytics or measurement technology. The "last updated" date always reflects the current version, and we'll notify you of material changes.
